Data Manager

Miami, FL | Full-Time

ABOUT THE LUCY PROJECT

The Lucy Project (TLP) is a Miami-based nonprofit advancing structured literacy and the Science of Reading in Title I schools and underserved communities across Miami-Dade. TLP works in 8 MDCPS schools and 1 charter school, providing professional development for teachers and direct services for students, and building the infrastructure for lasting change in how children learn to read. The annual Unlocking Literacy Conference brings together hundreds of educators across Florida each summer.

TLP is a lean, mission-driven organization. Everyone here does real work, takes ownership, and cares about outcomes. We are growing, and we want our team to grow with us.

ABOUT THE ROLE

Title: Data Manager
Organization: The Lucy Project, Inc. (TLP), Miami, FL
Reports to: Founder and Chief Executive Officer
Status: Full-time
Location: Miami; hybrid, three days a week in the office
Salary: $70,000 a year

The Data Manager owns the data systems behind TLP's literacy programs and every number the organization reports to funders. The Manager builds and maintains the student information system and related databases and manages assessment, attendance, screening and survey data. The Manager turns that data into the figures behind grant reports, plus dashboards and evaluation findings.

The Manager also writes the rules for how each metric is counted and stands behind those numbers with funders, school district partners and TLP leadership.

KEY RESPONSIBILITIES

Data systems
- Administers the organization's databases: the student information system (rosters, courses, sessions, attendance, transcripts), intake and screening records, family surveys and the reporting database.
- Sets up each program cycle and school year by creating courses, registering and enrolling students, re-enrolling returning students, archiving prior records and closing gaps in sessions and attendance.
- Builds and maintains automations and scripts for daily attendance, staff alerts, registration and record archiving.
- Maintains the interfaces and tools staff use daily, and manages user accounts, permissions and onboarding.

Assessment data
- Pulls benchmark and progress-monitoring data from the assessment vendor and archives it by school year so no history is lost.
- Matches student records across systems and resolves name variants, placeholder IDs and duplicates.
- Runs and maintains the code that computes growth, attendance and outcomes and loads the results into the reporting database and dashboards.

Data for grant reports
- Produces the figures for cycle, mid-year and year-end grant reports, checks them against each contract's required outcomes and flags gaps early.
- Keeps student-level backup for every reported figure so each number traces to source records.
- Answers data-definition questions from TLP staff and funder program staff.
- Supplies program data for grant applications and renewals.

Business rules, data quality and privacy
- Writes and maintains the business rules that define how each metric is counted, with a change log and a list of open decisions for leadership.
- Audits data quality on a regular schedule and works with program staff to correct errors at the source.
- Protects student privacy under FERPA and data-sharing agreements, handles de-identified data correctly and keeps identifiable information out of anything shared externally.

Research and evaluation
- Supplies data for TLP's district research study, working with the study's Principal Investigator on data requests and data-sharing documentation.
- Runs program evaluations and outcome analyses.

Reporting tools, documentation and communication
- Builds and maintains reports, dashboards, funder presentations and analysis scripts, with every figure computed from source data. AI coding tools such as Claude Code are part of how this work gets done at TLP.
- Keeps detailed Markdown (.md) documentation for every project, covering data sources, definitions, decisions, build steps and open items, so anyone can pick up where the last person left off.
- Explains data in plain language to leadership, the board, funders and program staff, and prepares the data for funder meetings.
- Trains program staff on attendance entry, screening intake and data practices.
